How to use the bank reconciliation template

  1. Retrieve original bank statements and general ledger for the same company, bank account, currency, and period.
  2. Enter company details, BAS account, period, and opening balances in Excel.
  3. Register bank transactions and corresponding bookkeeping entries in separate sheets. Payments received should increase and payments made should decrease the bank account in both lists.
  4. Check date, counterparty, amount, and voucher reference, then assign a match ID manually.
  5. Compile each verified match ID once in Match Control and review discrepancies, open items, and items not yet matched.
  6. Document actual errors or timing differences in the discrepancy supporting document. Make any accounting corrections in the regular bookkeeping system with correct supporting documentation.
  7. Sign the reconciliation protocol and archive the bank statement, general ledger, workbook, and vouchers together.

Bank reconciliation, Bookkeeping Act, and vouchers

The Bookkeeping Act (1999:1078) requires current bookkeeping, traceable corrections, and vouchers, among other things in Chapter 5. The Accounting Standards Board's BFNAR 2013:2 Bookkeeping provides further guidance. The Swedish Tax Agency describes the reconciliation of bank statements against the booked bank account in the brochure Bookkeeping, Annual Accounts, and Tax Return (SKV 282, 2026), where monthly reconciliation is specified as the working method. This standard template does not replace the accounting corrections, attachments, vouchers, or security routines that the business may need.

Frequently asked questions

What is a bank reconciliation?

A check that the booked balance and relevant transactions match the bank statement, with explanations of remaining items.

Is account reconciliation the same as bank reconciliation?

Bank reconciliation is a specific account reconciliation of bank accounts. This product focuses on the bank account and its general ledger account, not all balance sheet accounts.

Can the template import bank statements or Fortnox automatically?

No. Data is registered manually and no direct integration is included.

Is transaction matching automatic?

No. The user manually assigns an ID after actual review. Excel sums and compares the ID groups that have been registered.

Can I use it for year-end closing?

Yes, as a supplementary reconciliation document. It does not replace regular bookkeeping or a qualified annual account.

Are English documents included?

Yes. A separate English work form and an English quick guide are included. Other master templates are Swedish and based on Swedish conditions.

Is this a duplicate of Cash Book or Accounts Payable?

No. Cash Book & Daily Cash focuses on physical petty cash and Accounts Payable on supplier debts. This product concerns bank accounts against the general ledger.
