Has a tenant missed a rent payment? With this editable rent reminder template package, landlords and property managers can document overdue rents, reconciled payments, communications, and any objections. The package includes five separate Swedish working documents, two user guides, and an Excel ledger with nine tabs. Every claim must be based on verified information.

Excel – rent ledger with nine tabs

The workbook contains Overview, Claims, Payments, Reminders, Installments, Objections, Actions, Documentation, and Read me. Registered claims can be linked to actually received payments using unique claim IDs. Excel shows balances, totals, and follow-up status. Payment entries and fees must always be reconciled manually; the program does not create debt collection claims and does not make legal decisions.

How to use the package

  1. Reconcile lease agreements, rent periods, due dates, invoices, and account statements.
  2. Register actual claims and payments in Excel, using separate references.
  3. If necessary, send document 01 as a friendly reminder with the specified principal amount.
  4. If the situation persists, use document 02 for a factual statement of claim, without confusing it with a formal debt collection claim.
  5. If the parties actually agree on installment payments, document it with document 03.
  6. Document objections, credits, and reconciliations in document 04.
  7. Compile documentation and have an authorized person evaluate potential next steps with document 05.

Important legal information

A reminder is not a notice of termination. Forfeiture of tenancy, termination, notifications, service of process, the role of social services, and the possibility to restore the tenancy are regulated separately in Chapter 12 of the Swedish Land Code. There are specific conditions and exceptions, including rules that changed during 2026. The package's five main documents are not completed formal debt collection claims, notice of termination documents, or eviction applications. Seek legal support for such procedures.

Reminder fee: According to law (1981:739), a maximum of 60 SEK may be charged for a written reminder, provided that the fee was agreed upon no later than when the debt arose. No fee is added automatically. Any late interest requires a separate assessment according to the agreement and the Interest Act (1975:635). A registered claim, an objection, or an installment plan is not, in itself, proof of legal validity or fulfilled payment.

Frequently asked questions

Can I charge 60 SEK for a rent reminder?

Only if the requirements in law and the applicable agreement are met. 60 SEK is a maximum amount according to the rules, not a fee that arises automatically.

Is a payment request a debt collection claim?

No. Document 02 is a factual payment request with a specification. A formal debt collection claim must follow specific rules under the Debt Collection Act and should not be confused with this template.

Can Excel determine if the tenant should be evicted?

No. Excel only calculates amounts based on the user's registrations and displays manual work statuses. The legal consequences of the Rent Act require a separate assessment.

Can the tenant object to the debt?

Yes. Document 04 provides space to note objections, evidence, payment, and individual review without assuming that any claim is correct.

Is the package in English?

The five main documents are in Swedish. The English User Guide explains how the Swedish templates are used.
