About this template
Project Handover & Closeout 2026/2027 is a cohesive, editable template package for companies, project managers, consultants, associations, and organizations that want to conclude projects in a structured way. Instead of a single final report, you receive a handover protocol, project final report, checklist, punch list appendix, detailed Swedish guide, English working reference, and an Excel register with a dashboard.
The documents help you capture deliverables, requirements, recipient responsibilities, document versions, remaining actions, and decisions before the project team concludes or responsibility is transferred to operations, management, or the client.

Excel register with dashboard and punch list control
- Overview: counters for registered and completed projects, deliverables, verified deliveries, punch list items, overdue actions, handed-over documents, and checks.
- Projects: space for 40 projects with project ID, owner, recipient, dates, status, and contract reference.
- Deliverables: 120 delivery rows with unique identifiers, requirements/acceptance criteria, evidence references, manual status, and missing documentation check.
- Punch List: 150 rows for priority, responsible person, due date, actual verified completion, and internal warning signs.
- Documents: 100 rows for document IDs, versions, secure archive references, and registered handover.
- Checklist: 25 prepared control points with responsible person, status, and reference to supporting documentation.
- Instructions & Examples: clear user instructions and a separate fictitious example tab. Example tasks are not included in the statistics.
The Excel file shows, for example, if a punch list item has passed its internal due date and if a marked delivery lacks supporting documentation. The calculations are based on your entered register values. They do not provide a legal acceptance review, perform actual inspections, or send any email or SMS reminders.
How to conduct a clear project handover
- Establish scope: gather the approved project plan, mandate, any change orders, and acceptance criteria.
- Identify the recipient: specify who is responsible for receiving deliverables, documentation, and future management.
- Register results: enter each deliverable with a unique ID and link it to evidence such as test protocols, file versions, or decisions.
- Document deviations: identify punch list items, risks, priority, action owners, due dates, and any reservations.
- Gather documentation: establish a document register with versions, storage location, recipient, and access control.
- Summarize the project: fill in the final report with goal fulfillment, finances, schedule, lessons learned, and management responsibilities.
- Perform acceptance check: fill in and sign the handover protocol with an explicit decision and documented exceptions.
- Archive and follow up: save relevant evidence, plan for impact evaluation, and ensure punch list items are closed.
Legal, contractual, and formal limitations
A project handover is not automatically a final acceptance under a contract. The legal significance of receipt, acceptance, warranty period, claims, transfer of risk, final payment, and liability depends on the actual agreement and applicable regulations. If the project is a construction contract covered by standard agreements such as AB 04 or ABT 06, specific forms of inspection and statements may be required. This general template never replaces such prescribed inspections.
Similarly, projects financed by a municipality, region, government agency, or the Swedish Inheritance Fund (Allmänna arvsfonden) must be reported according to the grantor's own terms, e-services, and mandatory documents. This product is a supplementary internal project management document.
If the project registers contain personal data, the organization must also manage access, information security, appropriate storage, and deletion. Avoid passwords, secret codes, and unnecessary personal identity numbers in Excel.
Who is this package for?
Project managers, consultants, IT and business development professionals, small and medium-sized enterprises, associations, property managers, and other organizations that hand over a completed assignment to a client or internal operations. The package is particularly useful when multiple documents, project deliverables, and punch list items need to be followed up in a consistent manner.
Frequently Asked Questions
What is the difference between a handover protocol and a final report?
The handover protocol documents what is handed over, to whom, and with what reservations. The final report describes goal fulfillment, the project process, finances, results, and lessons learned.
Can Excel approve deliverables automatically?
No. You manually enter status and evidence. The dashboard summarizes registrations and flags missing documentation or overdue punch list items.
How many projects fit?
The register sheet contains 40 prepared project slots and separate capacities for 120 deliverables, 150 punch list items, and 100 documents.
Is the template a valid final inspection protocol for AB 04 or ABT 06?
No. It is a general project handover support tool. Any contractual inspection, surveyor, and special statement are handled separately.
Can I use the final report for grant reporting?
As a working document, yes. It does not replace an authority's or grantor's prescribed report, financial template, or e-service.
Do the PDF files have electronic fillable fields?
The PDF versions are searchable print and reference files. The Word and Excel files are the primary editable documents.
Is English documentation included?
Yes, an English working reference adapted to Swedish conditions. It does not constitute a separate agreement under foreign law.
