About this template

Advance vacation 2026/2027 – agreement, withdrawal decision, and settlement documentation in Word, PDF, and Excel

Does your workplace need a clear template for advance vacation agreements? This document package helps employers, HR, and payroll administrators document voluntary agreements for paid time off before vacation pay has been earned. With editable Word templates, print-ready PDF versions, and an Excel register, you can keep track of offers, approved days, actual disbursements, and the separate legal assessment required at the end of employment.

Advance vacation is not the same as earned paid vacation, unpaid leave, or a general loan. The employee must receive clear information and should normally not be required to accept an offer of advance vacation. Rules in collective agreements and the actual circumstances of the employment must be verified before the documents are used.

Digital delivery: 15 files in a ZIP – 7 editable Word documents, 7 corresponding searchable A4 PDFs, and 1 Excel workbook with nine tabs. Five main Swedish templates, a Swedish user guide, and a specific English User Guide. No physical shipping or subscription.

Legally important: According to Section 29 a of the Annual Leave Act (1977:480), vacation compensation at the end of employment may in certain cases be reduced by previously paid advance vacation pay. Set-off may not occur, for instance, when the payment was made more than five years ago or when the act's specified termination exceptions apply. There is a special bankruptcy exception, and collective agreements may contain deviating terms. This does not mean that the employer is automatically entitled to deduct money from regular salary or claim that every registered advance amount is a valid debt.

03. Excel tool with nine tabs and sixteen control key figures

Tabs: Overview · Personnel · Agreements · Withdrawals · Payments · Termination & Assessment · Settlements · Control points · Read me.

The overview distinguishes between registered agreements, actually taken advance days, verified payments, initiated termination assessments, and manually decided settlements. In the Settlements sheet, vacation compensation is calculated based on a manually entered, legally approved amount, with a lower limit of zero. The workbook does not automatically audit the five-year rule, the cause of termination, or collective agreements and contains no hidden test entries.

Warning: An amount in Excel does not constitute a confirmed claim, a salary payment, an assessment according to Section 29 a, or permitted set-off against other salary. First document legal right, collective agreements, employer decisions, and settlement documentation.

How to document advance vacation – ten steps

  1. Check vacation year and earned days. Clarify which days are paid or unpaid in the current employment relationship.
  2. Review the collective agreement. The Annual Leave Act allows for collective agreement deviations; apply the correct agreement.
  3. Inform the employee. Explain the difference between unpaid leave, advance vacation pay, and earned vacation.
  4. Offer a voluntary agreement. Use the main agreement and specify the agreed-upon days and terms.
  5. Assess vacation scheduling. Document an actual decision regarding when the leave is to be taken.
  6. Confirm the withdrawal. Register only the days that were actually covered by the decision and withdrawal.
  7. Document every disbursement. Specify payment date, gross amount, and corresponding payslip.
  8. Keep data up to date. Adjust registers and documentation in the event of corrections or changed circumstances.
  9. At the end of employment – perform an individual check. Review the cause of termination, the five-year limit for each payment, and any applicable collective agreement.
  10. Make a separate, documented settlement decision. Do not confuse set-off from vacation compensation with set-off from other salary.

What does the Annual Leave Act say about advance vacation?

Vacation leave and voluntary advance

The Annual Leave Act (1977:480) distinguishes between vacation leave, vacation pay, and vacation compensation. According to the main rule, the employee has 25 vacation days per vacation year, but those who start after August 31 generally only have five days during the initiated vacation year. Paid vacation requires that vacation pay has been earned, unless, for example, advance vacation is agreed upon. The vacation year and earning year may be handled differently according to permitted collective agreements.

Settlement according to Section 29 a of the Annual Leave Act

Those who have received advance vacation pay may, under certain conditions, have their vacation compensation reduced at the end of employment. Section 29 a limits this, among other things, when the advance was paid more than five years before the termination and during statutory termination exceptions. This includes certain terminations due to the employee's illness and certain employer-initiated terminations without personal grounds, albeit with special regulations in case of bankruptcy. The rule must be read in its entirety.

Collective agreements and protection for the employee

According to Section 2 a of the Annual Leave Act, collective agreements at the correct level may allow for deviations from, among other things, Section 29 a. Therefore, check the terms actually applicable to your industry and workplace. Unionen describes advance vacation and the terms as a specific voluntary agreement. An agreement field may not be presented as a general right to withhold salary. Any potential set-off against regular salary requires its own legal basis and assessment.

Employee salary documentation and confidentiality

Document only necessary personal and salary data. Keep personnel documentation with restricted access, verify the employer's actual data retention routines, and avoid including sensitive personal data in open Excel registers.

Frequently asked questions about advance vacation

What is advance vacation?

Advance vacation means that the employer and employee agree on paid vacation leave before the relevant vacation pay has been earned. The agreement needs to be understood in the context of law and collective agreements.

Can the employer require one to take advance vacation?

The employee normally cannot be forced to accept a voluntary offer of advance vacation. Vacation scheduling and the employer's obligations must be assessed separately.

Is advance vacation a debt for five years?

It is not an automatic and unlimited debt. Section 29 a of the Annual Leave Act contains a five-year rule based on actual advance payment and several important exceptions. Collective agreements may provide for deviating rules.

May advance vacation be deducted from the final salary?

A potential settlement according to Section 29 a applies to vacation compensation, under the act's conditions. Deductions from other salary or set-off require a separate legal assessment.

What happens in the event of redundancy?

Section 29 a contains exceptions for employer-initiated termination not relating to the employee personally, with special bankruptcy regulations. Verify the reason for termination and any collective agreement before considering any deduction.

Can Excel determine if advance vacation should be repaid?

No. The workbook contains registers, summaries, and amount calculations based on manual legal assessment. It does not assess the five-year limit, the act's exceptions, or applicable collective agreements.

Is an English agreement included?

No, the five main templates are Swedish. An English User Guide is included with explanations of the use of the documents.

Is the material legally certified?

No. The documents are based on an editorial review of legal sources and are not a certificate from an authority, trade union, or external legal counsel.
