Excel price list with VAT, price history, and 30-day check

The Excel workbook contains nine connected tabs where you can register your own goods and service prices, follow up on changes, and document who has reviewed and approved a price list. The overview shows eight automatic summaries based on actual entered items – empty registers show zero.

Product price including VAT: Enter the price excluding VAT and a VAT rate verified for the current product. Excel calculates price incl. VAT = price excl. VAT × (1 + VAT rate), rounded to two decimal places. In the service tab, you can enter the hourly rate, number of hours, material cost, and VAT rate for an illustrative calculation of a specific assignment.

Price changes: Excel shows the difference in currency and percentage between the old and new total price. 30-day price reductions: you can register promotional prices and a manually verified lowest price during the relevant period. Excel does not pull data from Shopify or POS systems and therefore does not in itself prove compliance with the 30-day rule. Save history and documentation separately.

The file has optional status fields, formula cells that are visually distinct from input cells, and version control fields. It does not contain any pre-filled fictitious items, prices, personal data, or customers.

How to use the price list template – 10 steps

  1. Choose target audience: consumer, business, or separate price lists for both. Do not mix up the total price incl. VAT and clearly labeled B2B price excl. VAT.
  2. Fill in company details, contact info, website URL, version number, and valid-through date.
  3. Register goods and services with name, item/service ID, unit, and actual scope.
  4. Check VAT rate per product against current sales. Do not automatically enter 25% for all goods and services.
  5. Calculate and check total prices as well as any mandatory surcharges, fees, and unit prices.
  6. Review the price change: compare old and new prices and ensure that any existing customer contracts actually permit the change.
  7. Verify promotional claims and previous lowest price based on verified price history when the 30-day rule is applicable.
  8. Make and document the price decision with an authorized decision-maker, date, and approved version.
  9. Publish consistently in store, webshop, quotes, checkout, and customer materials, and archive the previous version.
  10. Follow up and revise registers, VAT assessments, customer letters, and published price information regularly.

What applies to price lists and price information in 2026/2027?

Price list for consumers – total price and VAT

According to the Price Information Act (1991:601) and the Swedish Consumer Agency's guidance, price information to consumers must be clear and accurate. The main rule is that the consumer must see the total price including VAT. Mandatory additional costs must be displayed so that the price is not misleading. Rules apply to both physical retail and online commerce. For certain goods, a unit price with the correct unit of measure is also required, for example, SEK/kg or SEK/l.

Price information for services and hourly rates

If the final price of a service cannot be specified in advance, the company must instead be able to state the basis for how the price is determined. The template helps you distinguish between fixed price, hourly rate, materials, travel, and any surcharges. Certain specific industries and agreements have their own requirements that must be checked.

VAT rates – important changes 2026

The Swedish Tax Agency normally specifies 25%, 12%, 6%, or VAT exemption depending on the product and conditions. From April 1, 2026, VAT on food is normally 6%, while restaurant services are normally 12%. This may affect businesses with both take-away and dine-in service. The applicable VAT rate may not be determined solely based on the industry name. Excel therefore requires explicit entry of a verified VAT rate for each price row.

Price reduction – lowest price in the last 30 days

When a consumer-facing price reduction is advertised, the company must, as a general rule, state the previous lowest price used for the product during the 30 days preceding the price reduction. Specific exceptions and rules for, e.g., gradual price reductions may apply. It is not sufficient to enter an estimated regular price – use actual history and document the source.

Price change letters and existing contracts

Sending a price change notice does not automatically imply the right to unilaterally raise the price of an existing, binding contract. Check the price adjustment clause, relevant consumer protection rules, contract type, and any notification or termination rights. The price change letter is a communication tool, not an automatic contract amendment decision.

Frequently asked questions about price lists

How do you create a price list in Word?

Open the template, enter the company, products or services, units, current prices, any surcharges, valid-through date, and contact. Check VAT and unit price before publishing.

Is there an Excel template that calculates VAT?

Yes. The Excel register calculates the price including VAT from the price excluding VAT and the entered VAT rate. You must personally determine and verify the correct VAT rate.

Can I use the price list for hourly rates and services?

Yes. A separate service price list and an Excel tab for hourly rate, hours, materials, and VAT are included.

Must I show the price including VAT?

When prices are marketed to consumers, the general rule is total price including VAT. Additional fees must be clearly disclosed, and rules may vary between industries.

Is a template for notifying a price increase included?

Yes, a price change letter is included. It does not replace the requirement that the change must actually be permitted under contract and law.

Can Excel automatically check the previous lowest price for 30 days?

No. You register a manually verified amount and document the source/history. Excel calculates any discount difference but does not pull prices from a webshop or POS system.

Does Excel have different VAT rates?

Yes. You can enter the VAT rate applicable to each row, for example, 25%, 12%, 6%, or 0% when legally appropriate.

Is an English price list included?

No. Five main templates and a user guide are in Swedish. An English User Guide is included, not separate English main templates.
