What can the Excel template do?
- 50 buildings/ventilation systems: register object ID, ventilation type (F, FT, FTX, natural ventilation, or other), responsible person, system ID, and reference to the latest OVK certificate.
- Manual OVK date monitoring: enter the next date according to a verified inspection certificate. Excel displays DATE NOT VERIFIED, DATE PASSED, CHECK SOON, or MONITOR based on entered data.
- 200 operation log entries: document visual inspections, filter changes, cleaning, run-time checks, alarms, and action requirements.
- 150 indoor measurements: register temperature in °C, relative humidity in %, CO₂ in ppm, room, date, occupancy, measurement equipment, and observations.
- 150 internal actions: responsibility, prioritized follow-up, internal deadline, status, and verified completion.
- Overview/dashboard: number of buildings, passed registered dates, dates without verification, number of logs/measurements, and overdue internal follow-ups.
- Filters and validation: register with clear headings, selectable control types and status, and color coding for certain internal monitoring statuses.
How to use the package – step by step
- Inventory buildings and ventilation: gather operating instructions, unit designations, service records, and existing OVK reports.
- Register the building: enter a unique Object ID, ventilation type, and responsible function under Properties.
- Check OVK: only enter the next OVK date if it has been verified against a certificate or current expert assessment. Otherwise, leave the date blank and investigate the need.
- Document operations: use the ventilation inspection form during actual visual checks. Then register the results in the Operation Log.
- Conduct relevant observations: use the measurement report if temperature, RH, or CO₂ are actually measured. Specify measurement equipment and conditions.
- Investigate deviations: register the responsible person, action ID, and internal deadline. If necessary, hire a specialist or certified inspector.
- Follow up: ensure the action has been carried out, document the verification, and change the status to Completed.
- Save the documentation: store actual OVK certificates separately and document file references with appropriate data protection and access control.
Who can benefit from this product?
Property owners, BRF boards, small property managers, business premises, office buildings, landlords, and operational managers who want to build a consistent internal control routine. The package is a complement to existing property registers, error report registers, maintenance plans, and energy budget tools.
OVK, ventilation, and Swedish law
Mandatory Ventilation Control (OVK) is regulated by, among other things, the Planning and Building Act (2010:900), the Planning and Building Ordinance (2011:338), and Boverket's regulations. Where OVK is required, the building owner is responsible for ensuring that the control is performed by a certified expert functional controller. Different buildings and ventilation systems may have different intervals, and one- or two-dwelling buildings are not covered by the requirement for recurring OVK. This template determines neither intervals nor OVK results.
Property owner's self-inspection: The Public Health Agency of Sweden's guidance emphasizes the need for routines regarding ventilation, filters, complaints, moisture, and other conditions that may affect the indoor environment. A previously approved OVK does not exclude the need for further investigations when there are indications of poor air quality.
CO₂ measurements: The Public Health Agency of Sweden describes 1,000 ppm as an indicator of potential insufficient outdoor air flows in certain premises and situations, not as a general medical limit for carbon dioxide damage. This Excel template therefore does not set an automatic legal or medical "approved/not approved" status based on temperature, RH, or CO₂.
In the event of suspected serious air pollution, moisture damage, operational errors, or health risks, an appropriate qualified expert should be engaged. Do not record residents' diagnoses or other sensitive personal data in a generally shared operation log.
Frequently asked questions
Is this an OVK report?
No. It is an internal operation and self-inspection template. Official OVK is performed and documented by a certified functional controller according to applicable rules.
Does Excel automatically calculate the next OVK date?
No. You enter the date verified against the current inspection certificate. Excel then only monitors the entered date.
Can I use the template during both 2026 and 2027?
Yes. The registers and formulas use dynamic dates, but legislation, technical requirements, and authority sources must be checked in case of changes.
Can the template determine if the ventilation is approved?
No. Measurements and observations are a basis for internal follow-up, not automatic proof of correct air flows or fulfilled requirements.
Are filter changes and a cleaning log included?
Yes. Both can be documented as separate inspection types in the Operation Log and the editable ventilation inspection form.
Can I log temperature, humidity, and carbon dioxide?
Yes, with date, location, measurement equipment, and comments. The workbook contains no medical or certified technical assessment.
Is the product also in English?
The Word documents contain English reference pages, and the guide includes an English quick guide. Excel is in Swedish and intended for Swedish property administration.
Do I need a cloud service?
No. The files can be managed locally in Microsoft Office or compatible software. No automatic transmission to authorities is included.
