About this template
As-Built Documentation & Operation and Maintenance Manual 2026/2027 – Word, PDF, and Excel
Gather the documentation required when a Swedish construction project transitions into operation and management. This editable template package helps you establish an O&M manual structure, as-built document register, system-specific operation and maintenance instructions, service plans, and handover protocols. With a unified Excel register, you can track documents, drawings, certificates, punch lists, and deliveries – without losing track of who is responsible for what.
Suitable for developers, property owners, project managers, contractors, and technical facility managers. 15 files in Word (DOCX), searchable PDF, and Excel (XLSX), including a Swedish and English user guide. Price 79 SEK, one-time digital delivery.
Designed with guidance from the Swedish National Board of Housing, Building and Planning (Boverket) regarding technical documentation and operation/maintenance instructions, specifically BFS 2024:7, Chapter 1, Section 21 and BFS 2024:8, Chapter 1, Section 19, where the conditions for the respective requirements are met. This is a self-produced, general template and does not constitute regulatory approval or external certification.

03. Excel register with dashboard – nine tabs
Overview · Documents · As-Built · O&M · System · Certificates · Punch Lists · Delivery · Read Me.
The dashboard calculates actual registered documents, as-built drawings, system cards, O&M instructions, certificates, open/critical punch list items, and deliveries. Separate fields for revision, ID, status, responsibility, and link provide a clear handover chain. No fictional documents are pre-filled: empty registers show zero; this does not mean the project is complete.
How to use the as-built and O&M templates
- Check the construction contract, administrative regulations, technical areas, and actually agreed requirements for document delivery.
- Build the manual structure. Insert drawings, manuals, test documents, and manufacturer certificates as actual external evidence.
- Register each document with document ID, title, revision, responsible party, date, and verified source.
- Have a subject matter expert verify that the as-built documents correspond to actual execution and that instructions for installations are safe and correct for the system.
- Document system operation, maintenance, and service according to actual manufacturer instructions and applicable regulations.
- Mark missing documents as punch list items. Do not write "verified" or "approved" without supporting documentation.
- Hand over a version-controlled collection and use the protocol to document receipt, remaining actions, and responsibility after the handover.
What applies to as-built documents and operation instructions?
As-built documents are documents that describe the completed, actually executed building and its installations. The register shows which such documents are available or missing. It does not produce CAD drawings, IFC models, or actual as-built drawings.
According to Boverket's BFS 2024:7, Chapter 1, Section 21, requirements for operation and maintenance instructions for fire safety apply in specified situations. BFS 2024:8, Chapter 1, Section 19 contains requirements for such instructions regarding hygiene, health, and environment under specified conditions. Application and exemptions must be tested against the actual action, not assumed to apply to all buildings.
Which documents are to be delivered according to a construction contract, by whom, in which file formats, and at what time is determined by the agreed delivery requirements as well as what follows from applicable legislation. A receipt for received files is not automatically a construction-legal approval, a final inspection certificate, or a certificate of technical compliance.
You are purchasing editable templates, registers, and guides, not actual building drawings, CAD/IFC files, manufacturer's original manuals, OVK (mandatory ventilation control) certificates, fire safety documentation, or completed regulatory submissions. Technical operating values, safety measures, service intervals, and verifications must be filled in by authorized and qualified personnel based on the specific object.
Who is this template package for?
Developers and clients, design-build/general contractors, technical facility managers, property owners, project/construction managers, as well as consultants in construction, installation, and documentation coordination.

Frequently asked questions
Are ready-made as-built drawings included?
No. The package contains an as-built document register and follow-up templates, not the project's original drawings or CAD files.
Can I use the O&M manual as documentation for handover?
Yes, after you have populated it with actual and verified object documentation, original manuals, and agreed appendices. The receipt should describe exactly the documents that have been provided.
Is this a general statutory O&M manual?
No. Requirements and scope differ between buildings, actions, applicable regulations, and construction contracts. Certain operation and maintenance instructions are required in specific cases.
What happens when the Excel file is empty?
All KPI fields show zero until actual document IDs and status entries are registered. Zero does not mean that no documents are missing.
Are English Word templates included?
No. The five document templates are in Swedish. A separate English User Guide is included in both Word and PDF.
