About this template

Shift Handover & Production Diary 2026/2027 – Shift Report, Risks, and Excel Registry

Prevent critical information regarding production, machine downtime, blocked products, occupational health & safety risks, and open actions from being lost between shifts. This professional document package assists production managers, shift supervisors, team leads, CNC operators, and quality personnel in conducting and documenting a structured shift handover and ongoing production diary.

You receive a complete routine for tasks from the outgoing shift, input for the next shift, and a separate receipt of acknowledgment – all complemented by a functional Excel workbook with nine sheets. 15 files in total: 7 editable Word documents, 7 searchable A4 PDFs, and 1 Excel file. Main templates in Swedish, Swedish user guide, and English User Guide. One-time purchase, no subscription.

Source and methodology review: October 14, 2026.

Guidance from HSE on Shift Handover emphasizes preparation, verbal and written transfer, and verifying the recipient's understanding. The Swedish Work Environment Authority on risk assessment clarifies employer responsibility. This template package is a voluntary documentation aid: an acknowledgment receipt never replaces a risk assessment, operation or product release, permit management, or mandatory reporting. 2027 is a version designation, not a promise of established new regulations.

Excel for shift handover – nine linked tabs

The Excel file is designed for shift operations where each shift is assigned a unique shift ID. Related journal entries refer to the same ID. Formulas display registered data – they do not make decisions regarding safety or product quality. No fictitious operational data is included.

  • Overview: 13 operational KPIs including number of shifts, documented productions, manufactured and scrapped parts, actual downtime duration, quality/safety blocks, open actions, and acknowledged information.
  • Shift Register: up to 150 shifts with date, shift, machine, outgoing/incoming personnel, order, and operational status. Unique IDs are verified.
  • Production Log: up to 300 production entries with order, item, planned quantity, actual quantity, scrap, and variance calculation. Negative or contradictory quantities are flagged; no automatic quality approvals.
  • Downtime Journal: up to 250 registered downtime events with machine, actual time in minutes, cause, status, and shift correlation.
  • Quality: up to 200 quality cases, material blocks, evidence references, and person responsible. A "released" case always requires a formal original decision in the regular quality system.
  • Risks: up to 200 observations and blockage statuses, including responsible person, immediate action, and origin report.
  • Actions: up to 250 follow-up points with responsibility, status, deadline, impact reference, and verifier.
  • Receipt: up to 150 verbal/written acknowledgment receipt entries with checks for missing data and duplicates.
  • Read me: workflow, interpretation of calculated figures, data protection, safety limitations, and sources.

How to perform a traceable shift handover

  1. Create a Shift ID: register date, working time, machine, shift supervisor, and operational status in the Shift Register.
  2. Document production: record actual order, item, quantity, scrap, wait times, and interruptions in the Production Log and Downtime Journal.
  3. Identify critical issues: register machine problems, open maintenance cases, safety issues, quality deviations, and blocked material with original reference.
  4. Prepare the next shift: designate the responsible person and the next concrete action; specify deadline and escalation.
  5. Hand over verbally and in writing: outgoing and incoming personnel review current status and open risks. The recipient is given the opportunity to ask clarifying questions.
  6. Acknowledge the information: record person, time, evidence reference, and any remaining uncertainty in the Receipt. The receipt implies only that information has been received.
  7. Follow up in original systems: near misses, risk assessments, maintenance permits, and product releases are handled via the company's regular, authorized processes.

Safety, work environment, responsibilities, and limitations

A standard shift report can convey facts about blocked equipment, isolations, risks, and materials, but is not a machine-specific risk assessment or permission to connect power, perform maintenance, or start equipment. The employer is responsible for the systematic work environment management and risk assessments; serious incidents must be reported according to applicable routines and requirements. The product does not replace AFS 2023:1, the machine manufacturer's safety instructions, or a company's approved lockout/tagout procedures.

Calculated quantity is not released quantity. The Excel calculation of "manufactured minus scrapped" only describes quantities for reporting. It does not certify compliance with drawings, batch approval, or delivery authorization. "Acknowledged receipt" is not proof that a risk or error has been resolved. The register is an internal tool and not a government form, ISO certification, or formal audit certificate.

Only register personal data necessary for the company's actual follow-up. Determine access rights, retention periods, and archiving according to your internal policies and data protection requirements.

When the next shift needs to follow a current production plan, Production Planning & Capacity Calculation can assist. For machine and tool history, CNC Tool Register & Tool Life is recommended. For actual near-miss investigations, there is Near Miss Report / Workplace Accident. See also Production & Industry – Templates and Quality Management & ISO – Templates.

Frequently asked questions

What should a shift handover include?

Actual operational status, current order, production outcome, open defects, quality and work environment risks, the responsible person for the next shift, next action, and documented receipt.

Can I use the template for night shifts that cross midnight?

Yes. Register the shift's unique ID, actual date, and local start/end times according to your internal routine. Adjust date handling for shift changes.

Does the Excel file automatically approve a shift report?

No. It calculates quantities, statuses, and identifies certain invalid data. All decisions regarding continued operation, blocking, and release must be made in the regular system by an authorized person.

Is this a mandatory legal form?

No. It is a practical documentation aid; the employer's existing obligations under work environment and other relevant legislation are unaffected.

Are the documents in English?

The five main documents are in Swedish. The English User Guide explains how they can be used in international teams but does not translate all main templates.

Can I connect Excel directly to machines?

No. It is a local Excel workbook without PLC or MES integration and without automatic inventory or quality decisions.
