About this template

Final settlement and final balance of an estate – Word, PDF, and Excel

Do you need to reconcile an estate's actual bank funds and outstanding costs before the distribution of inheritance and bank payouts? This template package helps estate beneficiaries and those managing the finances to compile current account balances, transactions after the date of death, known debts, private outlays, tax reserves, and documented payments in a traceable manner.

15 files: five Swedish main templates, a Swedish user guide, a dedicated English User Guide – all in Word and searchable PDF – as well as an Excel register with nine tabs. The file package is a financial control tool and complements the separate deed of distribution.

Important: A final balance according to this working document is not automatically the bank's approved balance, a deed of distribution, or a certificate. The values in the estate inventory normally refer to the date of death; current balances and payouts must be substantiated with new documentation. The reconciliation must also take into account debts, tax, any will, matrimonial property division, and the bank's own forms.

01. Package contents

  • 7 editable Word files (.docx) – five Swedish main templates, one Swedish guide, and one English user guide.
  • 7 corresponding searchable PDF files – print-friendly A4 versions.
  • 1 Excel workbook (.xlsx) – nine tabs with registers, status fields, and control calculations.

Total: 15 files in 1 ZIP. Language: Swedish main documents with a Swedish/English guide (the five templates are not translated). Version: 1.0, 2026/2027. Delivery: digital download after purchase, no physical shipping.

03. Excel – nine tabs and 12 control KPIs

Overview · Accounts · Transactions · Debts · Outlays · Reserves · Distribution Basis · Payouts · Read me.

Track registered bank funds, the number of manually verified accounts, outstanding debt claims, requested/decided/paid out expenses, remaining reserves, preliminary available balance, agreed distribution amounts, and actual bank-verified payouts. Excel also calculates the difference between agreed distribution amounts and the preliminary available balance.

Important distinction: A requested outlay is not an approved reimbursement claim. A sent payment instruction is not a completed payment. A claim or right to inheritance is not determined by a formula. The KPIs are based on information that must be verified separately. An empty Excel sheet shows 0 instead of fictitious data.

How to use the estate reconciliation templates

  1. Establish the circle of authorized persons. Check the registered estate inventory and any estate administrator, executor, or special representative.
  2. Collect account statements. Specify the date to apply for the final reconciliation and register only actual balances.
  3. Note transactions. Document events between the date of death and the current balance date with verifiable source references.
  4. Register debts. Separate requested claims, paid amounts, and outstanding claims; specifically check contested claims.
  5. Review outlays. Distinguish between what a person is requesting reimbursement for, what has actually been decided, and what has been paid.
  6. Check taxes. Investigate tax filing obligations, tax accounts, tax refunds, residual tax, and any reserve.
  7. Compare the available amount. Review the Excel calculation against bank funds, known debts, and remaining reserves.
  8. Check the inheritance distribution. Use the allocation control only against a separately drafted and signed deed of distribution.
  9. Prepare the bank instructions. Follow the bank's current forms and verify recipients as well as authorizations.
  10. Document closure. Register actually completed bank payouts, receipts, and the remaining balance.

Legal conditions and important limitations

Chapter 18, Section 1 of the Swedish Inheritance Code regulates the joint management of the estate as a starting point. Chapter 23, Section 2 contains rules on known debts and inheritance distribution; Chapter 21, Section 4 may be relevant when debts have not been handled correctly. Chapter 23, Section 4 stipulates a written, signed deed of distribution. These templates only serve as support for financial control.

An estate may need to file tax returns even after the year of death, and tax refunds or residual tax can affect when a bank account should be closed. Banks may require their own distribution forms, original documents, and power of attorneys. In case of dispute, incapacitated heirs, real estate, international circumstances, or complex tax issues, qualified legal or accounting assistance should be considered.

Complement with relevant documents and guides

Do you also need the legally separate deed of distribution? See Mallbutiken's deed of distribution in Word and PDF. For earlier steps, there is the estate inventory package with summons and asset documentation. If someone is to manage practical contacts on behalf of multiple beneficiaries, a power of attorney for an estate may be relevant, after the recipient's requirements have been checked. Also read the guide on what a deed of distribution should contain and explore estate and inheritance templates.

Read the guides: For the difference between the estate inventory as of the date of death and later payments, see estate inventory 2026 – deadlines and rules. Before bank payouts and distribution, we also recommend inheritance distribution step by step. This template package is a control document, not a registered distribution of inheritance or a bank certificate.

FAQ – the estate's final balance

Is a final bank account balance the same as the value in the estate inventory?

No. The estate inventory normally states assets and debts as of the date of death. Account balances change later through, for example, payments, taxes, refunds, and interest.

Can I send this template directly to the bank instead of the bank's form?

No, not without the bank's approval. This product is a private working document. The bank determines which payout and distribution forms, certificates, or originals are required.

Does Excel make a legally valid distribution between heirs?

No. Amounts according to a signed distribution agreement are entered manually as control data. Excel determines neither inheritance shares nor the validity of an agreement.

Can I reserve money for upcoming taxes?

Yes, the workbook has a separate register for estimated and actually set-aside reserves. It must still be checked which taxes or other claims may arise and how they are to be handled.

Are Word, PDF, and Excel included in the package?

Yes, 7 Word files, 7 corresponding searchable A4-PDFs, and an Excel workbook with nine tabs.

Are the main templates in English?

No. Five main documents are in Swedish. The English User Guide contains instructions for the Swedish documents and Excel.
